Our client, a growth-stage company expanding into multiple international markets, needed to scale their outbound sales operation quickly. Their sales team was spending the majority of their time on initial qualification calls, conversations that often lasted under a minute before determining whether a prospect was worth pursuing. With target markets spanning the UK, USA, Australia, and Morocco, the challenge was not just volume. It was coverage across time zones and the cost of hiring SDRs in each region.
The Challenge
The company faced a familiar growth bottleneck. manual outbound calling does not scale. Their existing process required sales reps to manually dial through lead lists, leave voicemails, track outcomes in spreadsheets, and repeat the process across four different time zones.
At 50-80 calls per day per rep, reaching their 463-lead list would take one person nearly a full week. The core problem: How do you reach hundreds of prospects across multiple countries without hiring a team of SDRs at $50K+ each?
The Solution
We designed and built an AI-powered voice agent system using three core technologies: n8n for workflow orchestration, Vapi for conversational AI, and Twilio for the telephony infrastructure. This created a fully autonomous system.
How It Works:
- 1.The workflow pulls lead data from the client's existing Google Sheet.
- 2.Each lead is checked to avoid duplicate calls.
- 3.The system initiates an outbound call via Vapi with lead context (name, company, country).
- 4.The AI agent conducts the initial qualification conversation.
- 5.Call results, duration, and qualification status are written back to the sheet in real-time.

Technical Details
Error Handling: The workflow continues processing even when individual calls fail, with results checkpointed after each call.
Rate Limiting: A 2-second delay between calls prevents API throttling and ensures reliable execution at scale.
Scalability: The self-hosted n8n approach eliminates per-execution costs, making the infrastructure cost flat regardless of call volume.
